By using the App, you agree to the collection and use of information in accordance with this Privacy Policy.
We do not collect any health or medical data about you. Using Modern Mind does not indicate or diagnose that you have ADHD or any medical condition – it is a productivity tool, not a healthcare product. The information we do collect falls into the following categories:
When you create an account or interact with our App, you may provide personal information such as your name, email address, and any content you choose to input (e.g. tasks, notes, or voice entries). We treat any content you share (including voice notes transcribed to text) as your personal data. No sensitive health information is requested or collected.
We automatically collect certain data about your use of the App. This includes log data (such as your IP address, timestamps, and features used), device information (device type, operating system version, unique device IDs), and analytics data about how you engage with the App. For example, we may log the frequency of tasks completed or screens viewed to understand and improve App performance.
With your permission, we may collect approximate or precise location data from your device to enable context-aware reminders (e.g. reminding you of a task when you leave a certain location or are near a store). Location features are opt-in and you can disable or revoke location access at any time in your device settings.
If you visit our website, we may use cookies or similar tracking technologies to remember your preferences and analyze site traffic. You can set your browser to refuse cookies; however, some site features might not function properly without them.

We process your data to operate the Modern Mind App's core functionality – for example, to maintain your task list, provide reminders, and tailor suggestions to your schedule or energy levels. This includes using your input (tasks, notes, voice entries) to generate personalized task recommendations and gentle nudges suited to you.
Modern Mind includes a conversational AI co-pilot that listens to you and helps triage your day. To provide this feature, your relevant inputs (such as text or voice notes about what's on your mind) may be securely transmitted to third-party artificial intelligence models from Google, Anthropic, or OpenAI for processing. These AI service providers analyze the input and return helpful suggestions or dialogue. We do not use these inputs to diagnose any medical condition, and the AI responses are for productivity guidance only – not medical or professional advice.
We use analytics tools (like Google Analytics for Firebase) to collect usage data and crash reports. This helps us understand how users interact with our App, diagnose technical issues, and improve features and user experience. For example, knowing which features are most popular or where users encounter errors helps us prioritize updates. All analytics data is aggregated or otherwise de-identified where possible, and is used strictly for improving our services.
We may use your email address to send service-related notices or important updates (for instance, changes to our terms or privacy policy). If you contact us with a question or support request, we will use your contact information to respond. We may also send optional newsletters or product announcements, but only if you have consented to such communications (you can opt out at any time).
With your consent, we send push notifications to your device for important reminders (e.g. the next 3 tasks on your list) or updates within the App. You can control or disable push notifications at any time in your device settings.
Information may be used to monitor for and prevent fraudulent, abusive, or unlawful activities. This includes ensuring the App is used in compliance with our Terms of Service and investigating any violations.
In certain cases, we may need to process personal data to comply with legal or regulatory requirements – for example, to respond to a lawful request by public authorities or to meet data retention laws.
Important: We will not use your personal information for purposes that are incompatible with those above without asking for your consent first.

Important: We do not share personal information with advertisers or marketing agencies, and we have no advertising networks integrated into the App.
We are a Canadian-based company, and the data we collect may be processed and stored in Canada, the United States, or other countries. In particular, data may be transferred to the United States (where some of our service providers like Google and OpenAI operate). If you are located in the EU, UK, or other regions with laws governing data collection and use, please note that your personal data may be transferred to jurisdictions with data protection laws that differ from those in your country of residence.
We retain your personal data only for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements.
If you create an account, we will keep your profile information and any saved content (tasks, notes, etc.) for as long as your account is active. If you choose to delete your account or if it's inactive for an extended period, we will delete or anonymize your personal data within a reasonable timeframe.
Usage analytics and diagnostic information are generally retained in aggregate form (without direct personal identifiers). We may keep aggregated data indefinitely to help us improve the service, but this data cannot be linked back to any individual user.
